What a document tracker actually does

Documents do not fail loudly. A passport does not warn you; a residence permit does not send a letter. They simply pass a date, and the cost shows up later — a cancelled trip, a fine, a job offer that stalls on paperwork. Document tracking is the practice of holding those dates somewhere that will speak up first.

A real document tracker does four things: it records the expiry date, it works out when you would need to start renewing (not when the document dies), it reminds you across a channel you actually read, and it tells you what the renewal involves in your country. A spreadsheet does the first one.

Who a document tracker is for

Expat and cross-border families. The households with the most expiry dates per person: passports for several nationalities, residence permits, dependants’ visas, driver’s licences that do not transfer, vaccination records for school. One missed renewal in that stack can strand a family member on the wrong side of a border.

Anyone tracking documents for someone else. The person who renews a family’s passports is rarely the person holding them. DocuTrackr treats organiser-and-members as the default rather than an add-on, including caregiver access for a parent abroad.
